Executive Committee Portfolio Description

President

  • Preside over all of the Association's meetings and co-ordinate with members of the Board of Directors for the good and smooth running of the Association's affairs and activities.
  • Provide leadership role by ensuring objectives are met in the delivery of programs, activities and social events.

Vice President

  • Act on behalf and work closely with the President.
  • Ensure smooth running of the Association's programs and operations while strengthening members’ relationship.

Treasurer

  • Ensure that all monies received, and all payments made are properly accounted for.
  • Keep proper records and books of accounts and make these accessible to all members of the Board of Directors/Association's auditor.
  • Prepare draft annual budget incorporating both recurrent and capital expenditure for approval at each Annual General Meeting (AGM).
  • Prepare and submit financial statements at meetings of the Board of Directors and AGM of members.

Assistant Treasurer

  • Provide assistance to the treasurer in the management of the Association’s financial recordkeeping.
  • Responsible for the management of members' registration process.
  • Keep proper records of all membership dues

Secretary

  • Record the proceedings at all meetings of the Association in Minutes and make these accessible to any member of the Board or, whenever requested, to members.
  • Keep a proper register of members of the Association.
  • Maintain and keep up-to-date membership email distribution list.

Director of Arts, Culture and Sports

  • Provide support to preserve and perpetuate the traditions of Chinese culture (For example: Toronto Hakka Conference, Chinese Cultural Centre of Greater Toronto).
  • Promote harmonious relationship with other Chinese communities in Canada such as the Toronto Hakka Heritage Alliance (THHA).
  • Promote Chinese language and artistic learning among members.

Director of Senior Affairs

  • Coordinate programs and activities for seniors by modifying some social programs better suited to their needs.
  • Support seniors through regular communication by phone or on-site visits.

Director of Social Programs

  • Coordinate logistics of social events such as yearly picnics, monthly pot-lucks, luncheons such as the Dragon Boat festival and Mid-Autumn festival, and other special celebrations such as Christmas and Chinese New Year.
  • Liaise and work with service events providers for locations while ensuring organization and timeliness of events.
  • Organize bus tours and/or weekend getaway whilst ensuring safety of members.
  • Organize any virtual social events. (For example: social virtual meet, food presentations or cooking classes)/li>

Director of Fitness, Health & Wellness

  • Coordinate fitness, health and wellness activities with service providers. (For example: cardio exercises, line dancing, yoga and health webinars)

Director of Program Development

  • Manage and oversee grants and program components including timelines of application for grants and funding.
  • Identify potential support agencies including prepare business cases and cost estimates and allocations for grants and funding eligibility.
  • Develop program evaluations and statistical data for report back on programs funded by grants.

Director of Communications

  • Manage and direct communications flow and delivery of information internally and externally.
  • Craft communications responses, coordinate announcements to members and put together communications packages.
  • Develop communication strategies while promoting and maintaining the Association's image.
  • Coordinate members' feedback on program activities and events through surveys.
  • Act as a conduit for communications between the Executive Committee and members.
